​Roster Verification

Roster verification is a process used to provide PVAAS teacher-specific reporting based on accurate data. This process is for teachers and administrators to document and verify that each student is linked accurately to one or more teachers – for the correct state assessment(s) and the appropriate proportion of instructional responsibility. The roster verification process is completed using the PVAAS web-based roster verification system, provided to LEAs by the Pennsylvania Department of Education.

  • Preview Phase: April 27 – May 6, 2022
  • Teacher Phase: May 7 – May 20, 2022
  • School Admin Phase: May 21 – June 3, 2022
  • District Admin Phase: June 4 – June 24, 2022

Note: Roster Verification Dates are released annually each fall/winter.

The PVAAS roster verification process is critical as the data verified from this process is used to generate PVAAS teacher-specific data that is ultimately used as part of the three-year rolling average used in educators' final rating forms. This one-hour overview will provide a refresher of the PVAAS roster verification process for district and school administrators wishing to revisit timelines, teacher and administrator responsibilities, and the use of PIMS collections for pre-population in the web-based roster verification system. A variety of supports and resources will be shared to which educators can access throughout the year.

Ensuring the PVAAS Roster Verification system is pre-populated with key information on teachers' instructional responsibility for students is a time-saver for district and school administrators, and teachers. This session will provide an overview of the timelines and key PIMS data collections critical to this process. A brief overview of the PVAAS roster verification process, including key decisions regarding teacher eligibility and instructional responsibility, will also be provided to give context to the importance of the timeliness and accuracy of the PIMS submissions.

Preparing for PVAAS Roster Verification is critical as the data counts toward an educator's evaluation with the spring 2022 roster verification process serving as data to support year one data in a teacher's three-year rolling average. This session will provide an overview of the PVAAS roster verification process and the key responsibilities of teachers, principals, and district administrators throughout the eight-week process. Tips will be shared on how staff can efficiently use their time in the four roster verification phases to ensure rosters are accurate and verified during the allotted timeframes. Time will be allotted for questions and a review of available resources. 

PIMS Staff Student Subtest Collection Information

The PIMS Staff Student Subtest Collection is used to pre-populate rosters in the PVAAS web-based roster verification system. Access PIMS resources and help on the PDE website.

Page 170 of the PIMS Manual, volume 1, provides the Staff Student Subtest Templates fields and their definitions. Appendix AK of the PIMS Manual, volume 2, contains a complete list of the Subtest Identifiers and the Test Descriptions.
